• the property or suburb you are enquiring about;
• the content of messages you send us, including questions you type into our automated chat assistant;
• the property searches you ask us to email you about, if you create a property alert;
• where you apply for a tenancy or engage our services, identification and supporting documents relevant to that application or engagement.

We also collect limited technical information automatically when you use this website, such as your IP address, browser type and the pages you visit. This is used to keep the site secure and to understand how it is used.

2. Why we collect it

We use personal information to:

• respond to your enquiry and provide the services you ask for;
• arrange inspections, appraisals, tenancies and sales;
• manage properties on behalf of owners;
• meet our legal, regulatory and record-keeping obligations;
• send you information about properties or services where you have asked us to, or where you would reasonably expect it.

3. Disclosure

We may disclose your personal information to third parties where it is necessary to deliver our services, including property owners, prospective tenants or buyers, tradespeople and contractors, referencing and tenancy-database providers, solicitors and conveyancers, our IT and hosting providers, and government or regulatory bodies where required by law.

Some of our service providers may store data outside Australia. We take reasonable steps to ensure any overseas recipient handles your information consistently with the APPs.

In particular, this website uses: an artificial-intelligence service to answer questions typed into the chat assistant (the text of your chat is sent to it to produce a reply, and may be processed in the United States); an email provider to send enquiry notifications and property alerts; an SMS provider to alert our team to new enquiries; our customer-relationship (CRM) system, which receives enquiry details; and a cloud image host for property photos. Please don't type sensitive personal information, such as identity or financial details, into the chat assistant.

4. Storage and security

We take reasonable steps to protect personal information from misuse, loss, and unauthorised access, modification or disclosure, including access controls and encrypted transmission. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.

We retain personal information only for as long as it is needed for the purposes described above, or as required by law.
